To ensure customer orders for parts are interpreted correctly, dispatched promptly and to maintain accurate records of transactions. To receive, store and dispatch goods and maintain the warehouse. To assist the State Operations Manager in order to achieve the budgeted Gross Profit / Contribution and to provide the highest possible level of customer satisfaction. JOB CONTENT Administration:
- Maintain accurate entry of Vendor Invoices into ERA and scan accordingly to Docusmart once processed.
- Ensure all orders through non OEM supply chains are managed and information flow regarding Currency conversion and cost allocation of Freight is communicated to your Manager.
- Become fully conversant with all aspects of the DMS, systems for Parts Interpretation and OEM Online Portals for the purpose of ordering and communicating Parts ETA and model compliance analysis.
- Ensure Workshop Back order hold orders are audited Weekly and orders not progressed to fitment are communicated with the Service Manager and State Operations Manager.
- Ensure all Parts ordered for Retail clients are paid for in advance.
- Coordinate and process Parts quotations in a timely manner.
- Undertake all order placements and follow applicable process. Customer Service:
- Ensure all enquiries are handled in a prompt and efficient manner.
- Ensure telephones are answered in a prompt (within three rings), professional and pleasant manner.
- Ensure technicians are served promptly.
- Ensure Internal and/or External customers are promptly contacted upon arrival of their parts.
- Ensure that any external quotations are attended to without delay.
- Ensure all avenues are exhausted for sourcing Tyres and Classic parts, including OEM, Dealer and external supply chains with a focus on cost efficiency and achieving set OEM Targets. Communication:
- Ensure that all issues relating to customer satisfaction and/or Parts Department costs are brought to the attention of the Parts Operations Manager.
- Ensure customer complaints are brought to the immediate attention of the Parts Operations Manager.
- Advise the Parts Operations Manager of recurring requests for Parts. Product Knowledge:
- Develop an in-depth knowledge of all parts associated with BMW, Mini and Ferrari vehicles.
- Ensure you remain conversant with technical innovations, repair procedures and Parts Bulletins by reference to all technical information and circulars.
- Attend internal and external training courses and complete required number of training units annually, as directed by Management and to ensure the Department is compliant with Manufacturer expectations. General:
- Ensure personal presentation reflects the Company image.
- Maintain housekeeping within the Parts Department; Ensure the Parts Office and Warehouse is kept clean. Common Service Lines are to be topped-up daily if required and any shortfalls are communicated with the Parts Operations Manager.
