We are seeking a highly organised and proactive Medical Secretary to join our client's team. In this vital role, you will ensure seamless coordination of patient care and foster effective communication between doctors, patients, and healthcare teams. Your efforts will help facilitate smooth clinic operations, from patient admissions to invoicing, contributing to an outstanding patient experience.

Key Responsibilities:

  • Analyse consulting data to ensure optimal patient appointment scheduling.
  • Manage invoicing for surgical accounts, liaise with health funds/third parties, and receive payments.
  • Reach out to patients prior to their admission, providing essential information to prepare them for their visit.
  • Liaise with relevant staff members (e.g., anaesthetists) to ensure smooth clinic operations.
  • Maintain accurate patient records and update them as necessary.
  • Assist with the day-to-day running of the consulting business, including the preparation and distribution of theatre lists.

Key Skills & Attributes:

  • Ability to manage multiple tasks efficiently in a fast-paced environment, staying calm and focused when under pressure.
  • Exceptional organisational skills with attention to detail, ensuring accurate documentation, timely invoicing, and smooth clinic operations.
  • Strong interpersonal skills to liaise with patients, medical staff, and the broader healthcare team.
  • Ability to handle a wide range of tasks simultaneously, ensuring priorities are managed and deadlines are met.

Required Skills and Qualifications:

  • Higher Certificate of Education (or equivalent).
  • Experience with patient management systems and a strong knowledge of Microsoft Office (especially Word, Outlook, and Excel).
  • Familiarity with Health Fund Billing, Medicare, and small business bookkeeping, including GST requirements.
  • Excellent organisational and communication skills, with a focus on accuracy and timeliness in documentation and invoicing.
