One of Australia's leading primary healthcare providers with over 60 clinics located throughout metropolitan and regional centres, comprising medical centres and four dedicated skin clinics. Their services span all aspects of primary healthcare from general health assessments, pediatrics, travel medicine, skin checks, and chronic disease health assessments and management including diabetes and asthma. In many locations they also offer allied health services which will continue to expand, together with occupational health services.

They are seeking a Practice Manager will be responsible for the day-to-day management and leadership of general practice and for the operation of organisational objectives, policies, and procedures with the aim of meeting agreed standards in patient care, human resources, RACGP standards and budgetary management.

Key Responsibilities

  • Responsible for leadership and the operational, financial, and human resources management of the medical centre with the aim of ensuring its smooth harmonious operation within the framework of the organisation.
  • Ensure that all activities within the medical centre are focused on the delivery of high-quality patient care and on the achievement of appropriate patient outcomes.
  • In consultation, develop and review a business plan to meet the objectives of the organisation.
  • In consultation, assist in the preparation of an appropriate annual budget. Ensure that budget targets are achieved through effective monitoring of income and the National Operations Manager.
  • Manage electronic Health Insurance Commission (HIC) private billings.
    • Prepare timely and accurate financial and medical centre reports.
    • Facilitate the collection of debtors.
    • Implement and monitor financial management strategies to achieve agreed targets by ensuring the efficient and effective use of human and other resources.
    • Ongoing development and review of systems to ensure the medical centre runs efficiently and is aligned with the strategic plan for the medical centre and the organization.
    • Optimise the use of relevant resources offered by other organisations such as the Divisions of General Practice.
    • Responsibility for risk management processes and takes appropriate action in the event of adverse or untoward incidents to ensure a safe patient and staff environment is maintained.
    • Responsibility for improvement activities and oversees all Quality Improvement projects.
    • Responsibility that security is maintained.
    • Responds to and investigates complaints promptly and appropriately.
    • Monitors compliance standards and ensures compliance audits are conducted.
    • Improve efficiency of staffing and activities when necessary.
    • Overseeing the recruitment, induction and training of new staff members.
    • Responsible for staffing profiles and rosters commensurate.
    • Managing team meetings to ensure appropriate communication between team members as required and introducing strategies to progress inter-professional relationships.
    • Fostering a calm and harmonious environment for all staff within the medical centre that leads to quality industrial relations.
    • Providing guidance and leadership for all staff within the medical centre.
    • Demonstrating an understanding of medico legal responsibilities and an awareness of external governing bodies and relevant regulations which affect the operation of the medical centre within the organization.
    • Ensuring that appropriate action is taken to evaluate and replace equipment and supplies.
    • Ensure staff comply with privacy and confidentiality principles in all work practices, including the company policies and procedures.

ABOUT THE ROLE:

Administrative Management:

  • Oversee daily administrative tasks, such as appointment scheduling, patient check-in/out, and record keeping.
  • Ensure compliance with all relevant regulations.
  • Develop and implement office policies and procedures to enhance efficiency and maintain a consistent patient experience.
  • Supervise the front desk staff, dental assistants, and other administrative personnel.

Financial Management:

  • Manage the practice's financial operations, including petty cash handling and banking.
  • Completing tracking reports to assess practice performance and identify areas for improvement.

Human Resources:

  • Recruit, train, and supervise staff members, including dental assistants and receptionists.
  • Conduct performance evaluations, provide feedback, and address any staffing-related concerns.
  • Foster a positive and collaborative work environment that encourages teamwork and professional growth.

Operational Efficiency:

  • Optimize appointment scheduling to maximize productivity and minimize patient wait times.
  • Ensure the availability of necessary supplies and equipment for dental procedures.
  • Coordinate with medical centre and suppliers to ensure timely delivery of materials and equipment.
  • Troubleshoot and resolve operational issues to maintain a seamless patient flow.

Patient Experience:

  • Oversee the patient care experience to ensure exceptional service and patient satisfaction.
  • Address patient concerns and complaints promptly and professionally.
  • Implement strategies to enhance patient communication, education, and engagement.
  • Maintain a welcoming and comfortable atmosphere in the practice.

ABOUT YOU:

Preferred Qualifications, Education and/or Experience

  • Daily management of employees and general practitioner scope of practice.
  • Computer literacy including familiarity with patient management systems.
  • Accountability and responsibility to colleague's company and shareholders.
  • Commitment to ongoing personal development.
  • Desire to deliver quality care and best practice.
  • Strong knowledge of general practice IT systems.
  • Effective communication and interpersonal skills.
  • Excellent time management and organizational skills.
  • Ability to lead and work as part of a healthcare team.

  • Awareness of scope of practice parameters for practice employees and general practitioners (staff).
  • Previous Management experience or a senior position held within a medical Centre.
  • Further tertiary education in business administration, WH&S, quality improvement would be highly desirable.
  • Basic first aid Certificate (Includes CPR basic life support).
  • Experience using Microsoft applications - Excel, Word etc
  • Ability to work methodically
  • Data entry experience - operation of a computer terminal or similar equipment.
  • Good written and verbal communication skills
  • Friendly and pleasant personality
